⚡ Why NAVIGA — not ChatGPT, Gemini, or Perplexity
❌ What AI chatbots do
Gives information about how to navigate. You still have to figure out execution.
Generic steps — same answer for UK Skilled Worker Visa holder as for a student or asylum seeker
Forgets everything the moment you close the tab. Starts from zero every session.
Cannot check your actual documents — only describes what they should contain
No sense of what's currently processing fastest — gives the "correct" answer, not the smartest one
Translates language. Does not translate bureaucratic logic — the why behind a request.
No escalation when things go wrong. Suggests "consult a lawyer" with no path to one.
✅ What NAVIGA does
Verified execution — ranked pathways by current processing speed (Success Velocity)
Status-aware — different steps, different eligibility, different risks for every visa type
Persistent memory — journey tracker saves your progress across weeks and months
Document Auditor — upload your actual document, AI checks it against requirements
Success Velocity — shows which bank, office, or pathway is processing fastest right now
Bureaucracy Translator — explains what a document request is really checking for and what alternatives clerks will accept
Crisis Mode + direct links to registered professionals — not generic advice
Six features that no current AI product offers
Success Velocity
Ranks every pathway (banks, offices, routes) by current processing speed. Not the correct answer — the fastest one.
🔍
Bureaucracy Translator
Explains what any document request is really checking for — and what unofficial alternatives a clerk will actually accept.
📄
Document Auditor
Upload your actual document. NAVIGA checks it against the destination country's real requirements — before you submit.
📊
Pre-Arrival Readiness Score
Track whether your incoming cohort — 50 or 500 people — has actually completed each registration task before they arrive.
📑
Policy-to-Step Engine
Upload your HR or admissions policy. NAVIGA generates a custom navigation journey blending your rules with official country regulations.
🔔
Regulatory Early Warning
Monitors official government changes and alerts your HR team when visa or banking law shifts will affect your current international workforce.
ℹ️ NAVIGA is an educational information platform — not legal, immigration, or professional advice.
Always consult a qualified professional before making important decisions.
🧭 The Right Steps. For Where You Actually Are.

Complex Systems Are Built for
People Who Already Understand Them.

Healthcare, housing, banking, government, education — these systems are designed to be navigated by people who already know how. NAVIGA is the insider knowledge no one gave you — step by step, in your language, wherever you are.

📚 What NAVIGA Is
AI gives navigation advice that sounds authoritative and is frequently wrong. A missed window. A wrong form. A step done out of sequence. In immigration, healthcare, and legal systems, those errors arSystem information guide — not legal, immigration, or professional advice. NAVIGA provides general information about how systems work — not advice for your specific situation or case. Immigration advice is a regulated activity in the UK (OISC), Canada (CICC), Australia (OMARA), and other jurisdictions. NAVIGA does not provide immigration advice. For immigration matters, consult a registered adviser or licensed attorney.
⚡ Success Velocity — Fastest Paths Right Now
Not the "correct" answer — the fastest one. Ranked by real processing speed.
⏱ Speed estimates based on typical applicant timelines. Your experience may vary. Always verify current wait times directly.

About NAVIGA
"The country is not hard. The systems are hard. NAVIGA makes them simple."

The Problem We Solve

"Nobody explains how it works here. You are expected to just know."

Every newcomer faces the same invisible barrier. Not language. Not money. Systems. How do you see a doctor when you do not know how the healthcare system works? How do you rent an apartment when you do not know what documents are required? How do you open a bank account when you do not know which banks accept people without a local credit history?

The information exists — scattered across government websites, legal documents, and community forums in a language and format most people cannot parse. NAVIGA assembles it, translates it, and presents it as a clear, step-by-step guide for your exact situation.

⚡ Advanced Tools

Paste a letter from any government authority. NAVIGA decodes what it is asking, the deadline, and what to do.

Part of PLENA

NAVIGA is part of the PLENA suite. It connects deeply with every other platform: ASCENDA for credential recognition, LEGIBLA for document understanding, FORTIA for knowing your rights, NAVIGA is the navigation layer — the system that helps you find your way through the systems everything else depends on.

NAVIGA · PLENA · Product Strategy
From Smart Guide to
Trusted Infrastructure
A 30–60–90 day product roadmap for NAVIGA, split across individual and institutional tracks — built to move the platform from impressive concept to serious, defensible infrastructure.
Days 1–30 · Foundation
Days 31–60 · Depth
Days 61–90 · Scale

NAVIGA's advantage is not that it answers questions — AI does that everywhere. Its advantage is that it can help people and institutions get through systems correctly, faster, and with less harm. The next step is to make the product feel less like a clever assistant and more like infrastructure people trust with real-life bureaucracy.

7 Strategic Priorities
Mapped to phase and track.
1
Days 1–30 · Critical
Remove the BYO AI key friction
Premium users get managed AI built in. BYO key becomes an optional advanced mode, not the default gate.
2
Days 1–30 · Critical
Build a verifiable trust layer
Every step shows: official source, date verified, jurisdiction, confidence level, and what changed recently.
3
Days 31–60 · High
Success Velocity into a real moat
Live intelligence: real wait times, success rates, crowdsourced outcomes, last-verified stamps.
4
Days 31–60 · High
Personal case manager for individuals
Cross-device sync, next-step dashboard, status history, refusal branches, deadline alerts.
5
Days 31–60 · High
Escalation that's transactional
Export case summary, package documents, generate referral note, warm handoff to partner orgs.
6
Days 61–90 · Strategic
Institution-grade shared workspaces
Roles, case assignment, cohort views, internal notes, audit trails, bulk upload, team dashboards.
7
Days 61–90 · Strategic
Rebuild institutional packaging
Three tiers — Light, Professional, Enterprise — with pricing that signals serious value to procurement.
Phase 1 · Days 1–30
Foundation: Remove Friction, Add Trust
Remove the two things that prevent serious users and institutions from committing: the AI key setup burden, and the lack of source verification on guidance outputs.
→ Outcome: NAVIGA feels like a product people can trust with real decisions, not a demo requiring setup.
⚙️ Platform Infrastructure
🔑
Managed AI integration — remove BYO key requirement
Integrate a managed API layer (Claude Sonnet primary, Gemini Flash fallback) so all users get full AI functionality without setup. BYO key becomes an optional advanced mode for privacy-conscious users only. Single highest-impact change for conversion and institutional trust.
InfraCritical
🔏
Source & verification layer on all AI outputs
Every AI-generated step appends: official source URL · date last verified · jurisdiction · confidence signal (Verified / Likely / Uncertain). Transforms responses from "AI says" to "verified system guidance." No general-purpose AI can compete on this.
InfraCritical
📡
Live Status feed — real processing time data
Replace indicative wait times with structured data: UKVI processing dashboard, SSA times (USA), NHS GP registration waits, Bürgeramt availability (Germany). Where APIs don't exist: community-reported + last-verified model with staleness warnings.
InfraHigh
👤 Individual Track
🧭
Status-aware personalization — flows by visa type, not just country
Capture visa/immigration status from the Document Vault profile and auto-filter all guidance. A refugee and a skilled worker in the UK face entirely different healthcare registration paths — the output must reflect this.
IndividualCritical
📋
Document Acceptance Engine — upgrade Doc Auditor
Move from "you need proof of address" to "this specific document (Monzo statement, 6 weeks old) is: ✓ Accepted / ⚠ Risky / ✗ Incomplete" for a given authority and country. Rules engine for high-volume document types across the top 6 destinations.
IndividualHigh
📱
WhatsApp / Telegram — remove AI key barrier on mobile channels
Route mobile channels through the managed AI layer. A new user arriving via WhatsApp gets full guidance immediately — no setup. This is NAVIGA's most powerful distribution channel for people navigating in crisis.
IndividualHigh
🏛 Institutional Track
📦
Tiered pricing rebuild — Light, Professional, Enterprise
Light (free, up to 10 users, core guides) · Professional ($149/month, 100 users, all tools, basic case management) · Enterprise (custom, unlimited users, SSO, white-label, API, SLA, GDPR DPA). NGO / Global South pricing visible as a named option.
InstitutionalCritical
📄
Downloadable reports for leadership, funders, and compliance
One-click PDF/CSV export from the Cohort Dashboard: readiness by member, milestone completion rates, flagged individuals, action log. This is the feature that gets NAVIGA approved by procurement committees and NGO programme managers.
InstitutionalHigh
Phase 2 · Days 31–60
Depth: Case Management & Intelligence
Move from informing to executing. For individuals: a real personal case manager. For institutions: shared operational workflows. For the platform: a live intelligence layer no static guide or chatbot can replicate.
→ Outcome: Users and institutions are managing real journeys inside NAVIGA, not just reading guidance and leaving.
👤 Individual Track
🗂️
"Next Best Step" dashboard — personal bureaucratic OS
Prioritised action dashboard: "Based on your profile (Skilled Worker Visa, UK, arrived 3 weeks ago), your 3 most urgent steps are…" with live wait time context. The difference between a guide and an operating system.
IndividualCritical
🔀
Recovery branching — full refusal/delay navigation
Structured decision tree for the most common failure modes: bank refused me · GP won't register · application delayed · landlord wrong docs · letter refused · deadline missed. Each branch: what happened, legal rights, exact next 3 steps.
IndividualCritical
🔄
Optional account mode with cross-device sync
Opt-in email/passphrase account that syncs vault data, journey progress, and deadline reminders across devices. Local-only mode remains the default and is clearly labelled the private option. Account users get push/email alerts for overdue steps.
IndividualHigh
🌆
Hyper-local precision — city-level guidance
Housing, healthcare, and transport rules differ at city level. Expand to: NYC vs LA · London vs Manchester · Berlin vs Munich. Borough-level GP acceptance rates, Bürgeramt wait times by district, city-specific housing programmes. The Vault city field already exists — wire it in.
IndividualHigh
🏛 Institutional Track
🤝
Shared case workspaces — multi-staff collaboration
Assign cases to specific staff members, leave internal notes, track who last updated, export full audit trails. A caseworker assigns a step to a welfare officer; the officer marks it done; the manager sees it in the dashboard. The missing operational layer for schools, NGOs, and HR.
InstitutionalCritical
🔗
Transactional escalation — warm handoff and referral packaging
Export a structured case summary, generate a referral note in the format legal aid / housing / immigration orgs require, and pass a case from intake to specialist without losing context. First integrations: Citizens Advice, OISC advisers, legal aid portals.
InstitutionalHigh
🏷️
Embeddable widgets and white-label portals (full build)
Embeddable JS widget any university or NGO can drop on their site · white-label portal at a custom subdomain · SSO via Azure AD / Google Workspace. First targets: UK universities, NHS trusts (international nurse recruitment), refugee resettlement NGOs.
InstitutionalHigh
⚙️ Platform Infrastructure
📊
Success Velocity 2.0 — live intelligence layer
Structured scraping of official processing dashboards (UKVI, SSA, IRCC), community outcome reports with verification weighting, bank success rate data, last-verified timestamps on every data point. The one feature ChatGPT, Google, and any static guide structurally cannot replicate.
InfraCritical
🔌
API-first architecture — NAVIGA as third-party infrastructure
Public API: /steps/{country}/{system}/{status} · /documents/{country}/{doctype}. Banking apps, relocation firms, HR tools pull NAVIGA's verified steps as JSON. Turns NAVIGA from a product users visit into infrastructure that powers other products.
InfraHigh
Phase 3 · Days 61–90
Scale: Infrastructure & Partnerships
Convert NAVIGA's features into defensible market position. Build the partnerships and embedded workflows that make displacement by competitors structurally difficult.
→ Outcome: NAVIGA is infrastructure. Replacing it requires replacing relationships, data, and embedded workflows — not just a UI.
👤 Individual Track
🎯
Full life-stage coverage — beyond arrival
Extend to adjacent high-value moments: first job in a new country · visa renewal · family reunification · permanent residency application · citizenship pathway. Each life stage is a new journey. Vault data tells NAVIGA which stage a user is in.
IndividualHigh
🌐
Multilingual deep expansion — beyond Google Translate
Natively authored guidance for French, Arabic, Spanish, Portuguese, Hindi — written and verified in those languages by people who know the systems. Not just translated, but phrased the way these systems actually communicate.
IndividualHigh
🏛 Institutional Track
🏢
Org admin, roles, and permissions — full enterprise support
Org-level admin accounts · role-based permissions (admin / caseworker / read-only / external partner) · team workspaces · bulk CSV / LDAP sync · audit trails for compliance and safeguarding. The feature set that gets NAVIGA past IT security review and into procurement.
InstitutionalCritical
📐
Policy Blending as the centrepiece of the enterprise pitch
University admissions requirements + UK Home Office rules → one authoritative, branded step plan with both sets merged, labelled, and conflict-flagged. NAVIGA's most defensible idea. Build a dedicated demo flow and landing page around it. Lead every enterprise sales conversation with this.
InstitutionalHigh
🔔
Regulatory Early Warning — automated, proactive monitoring
Institutions register which policies matter to their cohort. NAVIGA monitors official sources + legal sector feeds. When something changes, affected staff are notified automatically with a summary of what changed and who it affects. The premium retention feature for institutional accounts.
InstitutionalHigh
🤲
Partner network — OISC, Citizens Advice, legal aid
Formal partnerships with OISC-registered advisers, Citizens Advice bureaux, and housing associations who receive NAVIGA warm handoffs. Creates "trusted infrastructure" status that locks in both individual users (real help available) and institutional buyers (referral pathway covered).
InstitutionalHigh
⚙️ Platform Infrastructure
🛡️
Multi-jurisdictional compliance expansion + legal audit
Audit and expand legal clarity banners: US state-level immigration advice restrictions, Canada (CICC), Australia (MARA). Commission a specialist legal review of the entire compliance layer — this is what removes institutional objections at procurement stage.
InfraHigh
📱
Native mobile app — iOS and Android with offline mode
Works offline for previously loaded journeys · deadline push notifications · document scanning directly into the vault · "next step" dashboard as home screen. The web platform handles power users; the mobile app handles the people who most need the product.
InfraHigh
If Only Three Things
The three moves that shift NAVIGA's category.
1
First · Days 1–14
Remove BYO AI key. Make premium features native.
Every time a user hits a "set up your AI key" gate, NAVIGA feels experimental. One change — managed AI integration — converts the platform from demo to product.
2
Second · Days 15–45
Build a verifiable source-and-speed layer everywhere.
What makes NAVIGA structurally better than ChatGPT is that answers are sourced, timestamped, jurisdiction-specific, and honestly uncertain where uncertain. No general AI can compete on trust.
3
Third · Days 30–60
Build institution-grade shared collaboration workflows.
Shared case assignment, cohort dashboards, audit trails, and role permissions convert NAVIGA from a smart tool into procurement-ready infrastructure. This is where the durable revenue comes from.
What Success Looks Like
Measurable outcomes at each phase.
Phase 1 · Day 30
0 users hitting AI key gate on core features
100% of outputs include source + verification date
Live status data for 5+ services, 4 countries
3-tier institutional pricing page live
Vault pre-fill on all 7 service screens
Phase 2 · Day 60
Next Best Step personalised by Vault profile
8 recovery branches covering common failures
2+ institutions in shared case workspace pilot
Success Velocity live data for 10+ corridors
Embeddable widget on 1+ partner site
Phase 3 · Day 90
Opt-in account sync with cross-device reminders
Org admin + roles for enterprise accounts
1+ formal legal aid / adviser partnership
Policy Blending as centrepiece enterprise demo
Automated regulatory alerts for enrolled orgs

🔍 NAVIGA PERSONAL
Bureaucracy Translator
AI translates language. NAVIGA translates bureaucratic logic. Every document request has a real purpose — a thing an official is trying to verify. Once you know what they are actually checking for, you can satisfy it even when you don't have the exact document they asked for.
The most common bureaucratic requests — what they actually mean and what alternatives clerks will accept.
📋 "Proof of Address"
What they're checking: That you actually live where you say. They need to verify this for fraud prevention and contact purposes.
Alternatives clerks accept: Bank statement (30 days), utility bill, NHS letter, GP registration letter, HMRC correspondence, employer letter on letterhead, tenancy agreement, council tax letter.
🏠 "Landlord Letter / Wohnungsgeberbestätigung (DE)"
What they're checking: That your landlord confirms the tenancy is real and you are a legitimate occupant.
If landlord is slow: Your signed tenancy agreement alone satisfies some offices. In Germany: landlord is legally required to provide this form within 2 weeks — they can be fined if they refuse.
💼 "Proof of Employment"
What they're checking: That you have income and aren't a flight risk or that you'll be able to sustain yourself.
Alternatives: Employment contract, payslip (last 3 months), employer letter on company letterhead, P60/P45 (UK). Self-employed: last year's tax return, invoices, bank statements showing regular income.
🏥 "NHS Number" / Health ID
What they're checking: That they can access your existing medical records and bill correctly if required.
You don't need it to register: GPs in the UK cannot refuse to register you because you don't have an NHS number. You get one when you register. Bring passport + proof of address only.
📜 "Certified Translation"
What they're checking: That the translation is accurate and can be relied on legally. Not just Google Translate.
What qualifies: A translator's signed declaration stating they are competent. In the UK, any qualified translator can certify — no official list required. Use the Institute of Translation and Interpreting (iti.org.uk).
💳 "No-Fee Bank Statement" / Account History
What they're checking: Financial stability and patterns. Not wealth — patterns. Regular income in, sensible outgoings.
If your statement looks thin: A letter from your bank confirming account standing can supplement. Wise and digital banks generate instant printable statements.
🔏 "Apostille / Legalisation"
What they're checking: That your foreign document (birth certificate, marriage cert) is genuinely from the issuing country and hasn't been forged.
Apostille (Hague countries): Stamp on the document from issuing country. UK: Foreign Office, FCDO (apply online). Many countries: notary + FCDO chain.
📁 "Right to Work Documents" (UK)
What they're checking: That employing you is lawful and they won't be fined for a right-to-work violation.
Share Code: Use gov.uk/prove-right-to-work to generate an online share code. Give this to employers instead of physical documents — it is the fastest and most accepted route.
Bureaucracy Translator 2.0 — Paste the letter you received, and NAVIGA drafts your official response in the correct administrative language, format, and tone. It uses the exact references, phrases, and structure that these systems expect.
The Bureaucracy Translator provides general guidance on document requirements. Specific requirements vary by office, date, and individual clerk. Always verify current requirements with the official authority before appointments.

Who this is for
🤝
Refugee & Migrant NGOs
Multiply your caseworkers' reach. Give every client the navigation literacy they need before their appointment with you.
⚖️
Legal Aid Bodies
Prepare clients before consultations. Reduce time spent on basic orientation. Focus lawyers on legal work.
🏫
Schools & Universities
International students, first-generation learners, and families who have never navigated the education or healthcare system.
🏢
Employers & HR Teams
International hires need to navigate banking, housing, and government services from Day 1. Give them a guide.
🏛
Government & Councils
Reduce inbound enquiries. Give citizens, newcomers, and beneficiaries the information they need to self-navigate.
🏥
Hospitals & Clinics
Patients who don't understand the system miss appointments, don't register, and don't follow up. Navigation reduces that.
Institutional Tools
📋 Client Navigation Intake Assessment
Describe a client's situation. NAVIGA generates a structured navigation plan — which systems they need to interact with, what documents to gather, and in what order to proceed.
🗺 Case Plan Generator
Generate a week-by-week navigation plan for a client entering a new country or system.
📖 Staff Training Mode
Quickly bring a new caseworker or volunteer up to speed on how a specific system works. Generates a staff briefing guide.
📬 Government Letter Decoder
Paste any government letter. NAVIGA decodes what it means in plain language — what is being asked, the deadline, and what happens if you miss it.
✉️ Referral Letter Generator
Generate a professional referral letter for a client to another service or professional — pre-populated with the right framing and key information.
🔑 Client Rights Briefing Generator
Generate a clear, plain-language rights briefing card for a client before a specific encounter with a system or authority. Give this to clients before appointments.
📊 Pre-Arrival Readiness Score
Track whether your incoming cohort — students, new employees, or beneficiaries — has completed essential registration tasks before they arrive. Shows a live readiness dashboard with completion rates and flagged gaps.
📑 Policy-to-Step Engine
Paste your institution's HR policy, admissions requirements, or onboarding documentation. NAVIGA blends your specific institutional requirements with the official country regulations to generate a custom navigation journey — unique to your organisation.
🔔 Regulatory Risk Early Warning
Describe your current international workforce or student cohort. NAVIGA analyses which regulatory areas pose risk given your specific mix of visa types and nationalities — and generates a monitoring brief your HR team can act on.
📈 Cohort Analytics Dashboard
A live visual view of your entire cohort's settlement readiness. See who is on track, who needs support, and which milestones are falling behind — at a glance.

🔴 When It Goes Wrong
Most tools tell you what to do. Only NAVIGA tells you what to do when a step fails — application rejected, deadline missed, conflicting information, documents lost. These are the recovery paths no one publishes.
Country:
⚠️ Got two different answers? The hierarchy of truth.
1️⃣ Official .gov website
← Always primary
2️⃣ Official phone line (ask for a reference number)
3️⃣ Written decision letter (dated document)
4️⃣ NAVIGA verified steps
5️⃣ Forum posts / social media / AI chatbots — never rely alone
Always do this: When calling an official helpline, say "Can I have a reference number for this call?" — it creates a paper trail and often changes the quality of the answer.
If you received a written decision you disagree with:
1
Write down the exact wording of the decision — quote it verbatim in any appeal or complaint
2
Find the appeal / mandatory reconsideration / review rights section — the letter must by law state your options
3
Note the appeal deadline precisely — it runs from the date on the letter, not the day you received it
4
Contact Citizens Advice (UK), Legal Aid (US/CA/AU) or a free advice service before the deadline
Why sequencing matters: These systems are designed so that Step A unlocks Step B. Doing them out of order can make applications invalid, trigger fraud flags, or reset waiting times. This map shows what each step enables, not just what it requires.
⏰ Deadline Tracker
Bureaucratic failures happen at the clock, not the desk. Track every window, renewal date, and appeal deadline — with countdowns, colour-coded urgency, and one-click calendar export. Your data stays on your device only.
➕ Add a Deadline
